Google has announced a range of new features for Workspace, integrating AI capabilities from Gemini to enhance productivity across email, meetings, video creation, and document writing.
Gemini in Gmail introduces personalised smart replies that consider a user's previous emails and Google Drive content. This aims to streamline drafting responses by offering suggestions that match the user's tone and context. According to Google, "Personalized smart replies in Gmail will help you draft emails that match your specific context and your tone. By pulling from your past emails and Google Drive, Gemini provides response suggestions with specific details that are more relevant and on point, eliminating the need to dig through your inbox and files yourself. Crucially, it also adapts to your typical tone — whether crisp and formal or warm and conversational — so your replies sound authentically like you." The company states these features will be generally available later in the year.
Managing email clutter is also addressed with inbox cleanup automation. Users can instruct Gemini to perform actions such as deleting or archiving emails based on user-set criteria. Google says, "Gemini doesn't just help you write and find emails; now it can take over those time-consuming and dreaded email tasks, starting with deleting or archiving emails you no longer need. Reclaim control over your emails with inbox cleanup. Simply tell Gemini what you want to do (e.g., 'Delete all of my unread emails from The Groomed Paw from last year') and watch as it helps you manage and declutter your inbox with a single click." This feature is expected to be available to users next quarter.
Gemini also looks to ease meeting scheduling challenges, especially with external contacts, through fast appointment scheduling integrated in Gmail. The system detects scheduling intent and facilitates sharing booking pages directly within emails to clients or customers. "Now, with fast appointment scheduling integrated into Gmail, you can easily offer times for customers or clients to book, without ever leaving your inbox. Gemini in Gmail detects when you're trying to set up a meeting and surfaces a helpful nudge, making it easy to share your booking page right in Gmail, significantly reducing the time and effort spent coordinating schedules," Google explained. This will also be generally available in the next quarter.
On the communication front, Google Meet will begin rolling out a speech translation feature for its AI Pro and Ultra plan subscribers, initially supporting English and Spanish. The function translates spoken word in near real time while retaining the original speaker's tone and expression. "This new feature translates your spoken words into your listener's preferred language — in near real time, with low-latency, and while preserving your voice, tone, and expression. The result is a conversation that feels authentic and natural, even across languages — whether it's English-speaking grandchildren chatting effortlessly with their Spanish-speaking grandparents, or global colleagues connecting across continents." Google announced that wider language support and early enterprise testing are planned for the coming months.
Google Vids, introduced last year to support video production, receives several upgrades. Users can convert Google Slides presentations into videos, with Gemini assisting in generating scripts, voiceovers, and animations. "With Vids, you can turn existing Google Slides into engaging videos. Imagine transforming an existing sales deck or a quarterly business review presentation into dynamic, shareable videos that truly capture your audience's attention. Gemini can help generate scripts, voiceovers, animations, and more," the company stated. These features are anticipated to be widely available next quarter.
Automatic transcript trimming in video recordings will allow users to remove filler words and pauses, and a sound balance tool will adjust audio levels with one click. "Gemini generates a transcript of your recording, then identifies and removes filler words and awkward pauses with one click. If your video's sound quality is uneven, you're also a single click away from adjusting sound levels across the entire video with balance sound. No complicated audio mixing needed!" Google specified, with sound balance available next month and transcript trimming in Labs next quarter.
Another addition is the use of AI avatars for video content, providing a way to create scripted video presentations without recording human presenters. Google described, "With AI avatars in Vids, you can skip the hassle of coordinating talent and video production. Just write a script and choose an avatar to deliver your message for you. It's a fast, consistent way to create polished video content — for onboarding, announcements, product explainers, and more — without the cameras or coordination headache." This feature will become available in Labs next month.
For visual content, the latest Imagen 4 model will now be available in Slides, Vids, and Docs, enabling users to generate images with improved detail, text rendering, and accuracy. Google highlighted, "This means you'll be able to create richer, more detailed visuals with ease, with more accurate spelling and text rendering, whether you're designing product mock-ups, generating visually striking graphics for your brand campaign, or developing engaging infographics for your quarterly presentation."
Google Docs will introduce source-grounded writing help, allowing users to link related data and documents directly into the writing process, ensuring Gemini's assistance is focused on specified content sources. "Now you can link any relevant decks, data, and reports directly into a Google Doc and Gemini will only pull from these sources when providing writing assistance, keeping suggestions focused and grounded in trusted content. So whether you're working on a status update, a research summary, or a business plan, you're writing with exactly the context you need — no guesswork, no switching tabs," Google said. General availability is expected next quarter.
Google indicated that these updates are designed to integrate seamlessly into existing workflows. The company said, "These updates aren't standalone features — they're part of a bigger vision to create AI that fits into everyday workflows, helping you take action and giving you more time for work that moves things forward. These announcements are designed to offer help, not hype, and represent the next step in making AI useful for everyone."
