Proofpoint unveils AI-powered governance tools for compliance

Proofpoint has introduced an upgraded digital communications governance solution featuring enhancements in search, archiving, supervision, and compliance capabilities driven by artificial intelligence and machine learning.

The company's latest offering aims to address the growing complexity faced by organisations in managing a diverse and rapidly multiplying range of digital communication channels. Six of the ten largest financial services firms in the United States are already using the solution, according to data referencing Fortune 100 rankings. The system is now available via the public cloud.

Businesses have increasingly integrated messaging apps, video calls, social media, and collaboration platforms into their daily operations. This development has significantly increased the challenges associated with compliance and governance, as organisations struggle to monitor and control information across various sources while adhering to internal standards and regulatory requirements.

Regulatory and data sovereignty obligations continue to grow in complexity, with frameworks such as FINRA, FCA, HIPAA, and GDPR imposing tighter requirements on communications. According to a recent Gartner report, "by 2028, 80% of digital communications governance and archiving customers will consolidate the supervision of text- and audio/video-based content to a common solution, which is a major increase from fewer than 20% in 2024," signalling strong demand for unified governance solutions.

Proofpoint's system leverages AI-driven tools to enable organisations to capture, reconcile, and manage communication records natively within a modern archiving environment. These tools are intended to support better compliance decisions, risk management, and litigation readiness.

Key features in Proofpoint's upgraded offering include a next-generation archive, now available on Amazon Web Services. The platform's real-time search offers functions such as wildcard, proximity, and emoji searches, as well as litigation hold and compliance features like content reconciliation and PCI DSS attestation. Data from 2024 show that the system's archive search produces results in less than three seconds on average. The global rollout of this solution is underway, with current availability in the United States and planned deployments in Canada, Europe, and the United Arab Emirates within the current quarter.

The solution's supervision and surveillance tools, including Proofpoint Supervision and Proofpoint Automate, are set to incorporate machine learning and LLM-based surveillance features, along with artificial intelligence-powered translation and risk summarisation. These enhancements are designed to assist financial firms in meeting Securities and Exchange Commission (SEC) and Financial Industry Regulatory Authority (FINRA) requirements by improving the efficacy of content review and reducing false positives, thus alleviating the workload for compliance reviewers. Proofpoint confirmed that new customers will have access to these machine learning models without needing additional licences, and further advancements in GenAI and Agentic AI are planned to support cost-effective compliance oversight.

The offering also expands native data capture capabilities across more than 80 digital channels, covering email, mobile, voice, video, social media, and collaboration platforms. Proofpoint Capture supports comprehensive compliance and governance, offering flexible archive options with high-efficacy connectors for accelerated integration. The Proofpoint Patrol extension widens social media capture, providing monitoring and remediation for compliance risks related to online activities.

Another key feature, Proofpoint Track, enhances audit readiness by delivering scalable, end-to-end reconciliation that validates the successful delivery of content to the archive system. Recognised by Gartner, this reconciliation capability aims to reduce the risk of missing or improperly stored content, supporting regulatory compliance obligations.

Proofpoint Archive on AWS is now available for general use, with customer migrations scheduled to begin in the third quarter of 2025 and provided at no additional cost through to 2026. The expanded features of Proofpoint Supervision and Proofpoint Automate will become available globally in a phased rollout commencing in the second quarter of 2025.
